Everything you need to install, set up, and get the most out of LinkSyncer — from your first sync to troubleshooting.

1. Introduction

LinkSyncer is a Chrome extension that connects LinkedIn to HubSpot. It lets you add LinkedIn profiles to your CRM in one click, keeps connection statuses up to date automatically, syncs conversations into the contact timeline, and reminds you to follow up — all without leaving LinkedIn.

What it does

  • Add profiles to HubSpot — visit any LinkedIn profile and add the person as a HubSpot contact, or update their LinkedIn status on an existing contact.
  • Track connection requests — invitations you send are logged on the contact, and acceptances update the contact automatically when LinkSyncer watches your connections page.
  • Sync conversations (premium) — messages you exchange with a connection are synced into HubSpot as timeline activity.
  • Follow-up reminders — set a reminder when you reach out, and LinkSyncer nudges you when it’s time.
LinkSyncer never syncs your own LinkedIn profile to HubSpot — only the people you interact with.

2. Requirements & installation

Requirements

  • Google Chrome 114 or newer (or a Chromium browser that supports the Chrome side panel).
  • A Google account (used to sign in to LinkSyncer).
  • A HubSpot account with permission to install apps for your portal.
  • A LinkedIn account.

Install from the Chrome Web Store

  1. Open the LinkSyncer listing on the Chrome Web Store and click Add to Chrome.
  2. Confirm the permissions prompt.
  3. Click the puzzle-piece icon in the Chrome toolbar and pin LinkSyncer so it’s always at hand.
After installation, reload any LinkedIn tabs that were already open so the extension can attach to them.

3. Getting started

First-time setup takes about two minutes and happens once. Click the LinkSyncer icon in your toolbar to open the popup and follow the steps:

Step 1 — Sign in with Google

Click Sign in and choose your Google account. A browser tab opens for the Google sign-in and closes itself when done.

Step 2 — Accept the Data Processing Agreement

Because LinkSyncer moves contact data between LinkedIn and your CRM, you’ll be asked to accept our Data Processing Agreement before any profile data is processed. You accept this once; it persists across sign-ins.

Step 3 — Connect HubSpot

Click Connect HubSpot and approve the requested scopes in the HubSpot authorization window. LinkSyncer creates the custom contact properties it uses (such as the LinkedIn connection status) automatically after connecting.

Your HubSpot credentials are stored only in your browser, encrypted. Our servers act as a relay and never keep a copy of your HubSpot tokens. See Privacy & security.

Step 4 — Open LinkedIn

Visit any LinkedIn profile. You’ll see the LinkSyncer button (the FAB) near the bottom-right of the page — click it to open the sidebar and you’re ready to go.

4. A tour of LinkSyncer

The FAB (floating action button)

The round blue button on LinkedIn pages is your entry point. Click it to open or close the sidebar. Its badge tells you the current contact’s status at a glance:

Move it where you like: press and drag the FAB to any position on the page. Your chosen position is remembered across pages, reloads, and sign-ins.

The sidebar

The sidebar (Chrome’s side panel) is where the work happens. On a profile it shows the person’s identity card, their HubSpot status, CRM fields (email, phone, lifecycle stage, lead status) when the contact exists, and the actions available — adding to HubSpot, updating status, and setting reminders. On other LinkedIn pages it shows the key features overview.

The popup

Click the toolbar icon for the popup dashboard: connection status for LinkSyncer and HubSpot, your monthly usage, settings, device management, and sign-out.

5. Everyday use

5.1 Add a profile to HubSpot

  1. Visit a LinkedIn profile. LinkSyncer detects it automatically (pulsing ring while it checks HubSpot).
  2. Open the sidebar with the FAB.
  3. If the person isn’t in HubSpot, click Add to HubSpot. The contact is created with their LinkedIn details and connection status.
  4. If they already exist, the sidebar shows their CRM data and keeps their LinkedIn connection status up to date.

5.2 Keep connection statuses in sync

When you send a connection request from a profile, LinkSyncer records it (status pending). To catch acceptances automatically, keep your LinkedIn connections page open in a pinned tab:

  1. Open linkedin.com/mynetwork/invite-connect/connections.
  2. Right-click the browser tab and choose Pin.
  3. Leave it pinned — LinkSyncer watches it and updates HubSpot when new connections are accepted or withdrawn.

5.3 Sync conversations (premium)

With a premium plan, opening a LinkedIn conversation with a synced contact captures the thread into HubSpot as timeline activity — inbound and outbound messages both. No setup needed beyond being on a premium plan; just message as usual.

5.4 Follow-up reminders

After you send a connection request or message, LinkSyncer can prompt you to set a follow-up reminder. Reminders fire as browser notifications and are tracked against the contact, so a reply or acceptance resolves them automatically.

5.5 Bulk-import your connections from a CSV (Pro)

The live connections page only shows what LinkedIn renders — a LinkedIn data export is your complete network. Pro users can upload the export’s Connections.csv (or any CSV with a LinkedIn URL column) from Settings → Import connections from file in the popup. Matched HubSpot contacts are marked connected in one pass, throttled to stay inside HubSpot rate limits; optionally, missing contacts can be created too (off by default). The import is safe to interrupt and re-run — already-correct contacts are skipped. On the free plan the panel appears greyed out with a padlock.

6. Working with HubSpot

When you connect HubSpot, LinkSyncer creates a small set of custom contact properties in your portal (it never modifies your existing properties). Everything LinkSyncer writes is a normal HubSpot property or timeline activity — so it works with your views, filters, lists, workflows, and reports like any other CRM data.

In the “LinkSync Team Connections” group — because a contact can be connected to one colleague but not another, LinkSyncer also tracks the relationship per team member:

LinkSyncer also fills HubSpot’s standard fields when it creates a contact — first/last name, company, job title, and the built-in LinkedIn URL property — so new contacts arrive complete, not bare.
Team size limit in this version: because each team member gets their own pair of status/date columns, LinkSyncer currently supports up to 10 team members per HubSpot portal. You’ll see a warning in the sidebar as your team approaches the limit. An Enterprise edition without this limit is coming soon — contact support if your team needs more seats today.

6.2 How the fields behave

  • Statuses update themselves. Sending an invitation sets Pending; an acceptance (caught via your pinned connections page) flips it to Connected and stamps the status change date. Withdrawing an invitation reverts it.
  • Per-user fields are written only for you. Each teammate’s LinkSyncer maintains their own LinkedIn Status — Name column; the shared status and team aggregates reconcile automatically as the team’s relationships change.
  • Existing contacts are enriched, not duplicated. LinkSyncer matches by LinkedIn URL and the encoded ID before creating anything.
  • Timeline activity: synced conversations appear as engagements on the contact timeline, and follow-up reminders are created as HubSpot tasks — visible to the whole team.

6.3 Adding the fields to your contacts view

  1. In HubSpot, go to CRM → Contacts.
  2. Click Actions → Edit columns (top-right of the table).
  3. Search for “LinkedIn” — you’ll see LinkedIn Connection Status, Last Sync, Last Status Change, and the per-team-member status columns.
  4. Tick the ones you want, drag to reorder, and save.

The same properties are available in filters and saved views: click Advanced filters, pick a LinkedIn property, and save the view for one-click access. On a contact record, find them under View all properties in the Contact information and LinkSync Team Connections groups.

6.4 Use cases

  • Chase-up view: a saved view filtered to LinkedIn Connection Status is Pending, sorted by Last Status Change — your outstanding invitations, oldest first.
  • Warm-lead automation: a HubSpot workflow that triggers when LinkedIn Connection Status becomes Connected — notify the contact owner, enroll a follow-up sequence, or bump the lead status.
  • Team coverage & no double-outreach: before reaching out, check the per-member columns — if a colleague is already Connected or Pending with the contact, route the introduction through them instead of sending a cold invitation.
  • Relationship reporting: build reports on LinkSync Team Connected to see network coverage of target accounts, or on status-change dates to track outreach velocity.
  • Data hygiene: the LinkedIn Encoded ID keeps the LinkedIn↔HubSpot mapping stable even when people change their profile URL or name — useful as a dedupe key in imports and integrations.

7. Settings & preferences

  • Auto-sync — when enabled, profiles you visit are checked against HubSpot automatically and existing contacts’ statuses are kept current. Disable it to check only when you open the sidebar.
  • Theme — light and dark; follows your system preference by default.
  • FAB position — drag the button anywhere; the position persists. (No setting needed — just drag.)
  • Devices — each browser you sign in from appears in the popup’s device list. You can revoke any device remotely; it will need to sign in again.
  • Send feedback — the sidebar footer has a feedback form that goes straight to us, with diagnostic context attached.

8. Plans, usage & billing

The free plan includes a monthly allowance of syncs — enough to evaluate LinkSyncer properly. Premium plans raise the limits and unlock conversation syncing. Current plans and prices are on the pricing page.

  • Your usage for the month is shown in the popup dashboard.
  • When you hit the free limit, the sidebar offers an upgrade; checkout is handled securely in a browser window and your plan activates immediately.
  • Features that need a premium plan are marked with a padlock in the interface.

9. Privacy & security

  • HubSpot tokens live only in your browser. They are stored encrypted in the extension and sent with each request; our servers relay them to HubSpot but do not keep a copy.
  • Sessions are per-device. Signing out on one browser doesn’t affect your other browsers or machines, and you can revoke any device from the popup.
  • Signing out clears your data on that device — tokens, profile data, and HubSpot connection. If your session expires on its own, your HubSpot connection is preserved so signing back in doesn’t force a HubSpot reconnect.
  • Contact data is processed under our DPA. Nothing is processed before you accept it. See the Data Processing Agreement and Privacy Policy.
  • Your own profile is never synced. LinkSyncer recognises your own LinkedIn profile and excludes it from all CRM operations.

10. Troubleshooting

“LinkSyncer needs a refresh” toast

This appears when the extension was updated or reloaded while a LinkedIn tab was open. Click Refresh page (or reload the tab) and the extension reattaches. Nothing is lost.

No FAB / profile not detected

  • Make sure you’re signed in to LinkSyncer (check the popup).
  • Reload the LinkedIn tab — especially right after installing or updating.
  • Note the FAB doesn’t show a status dot on non-profile pages (feed, search, jobs) — that’s normal.
  • On your own profile the sidebar intentionally stays out of the way — your profile is never synced.

Asked to sign in again

Sessions refresh automatically while you use LinkedIn, and brief network problems won’t sign you out. If you are asked to sign in again after a long idle period, that’s the session reaching its lifetime — sign in and continue; your HubSpot connection is preserved.

HubSpot shows as disconnected

  • Open the popup and check the HubSpot card. If it offers Reconnect, complete the OAuth flow again.
  • If you recently changed your HubSpot password or revoked apps in HubSpot, a reconnect is expected.

Connection status not updating in HubSpot

  • Acceptance tracking needs the connections page pinned — see section 5.2.
  • Statuses update on the custom linkedin_connection_status contact property — check your HubSpot views reference that property.

Sidebar shows stale or unexpected data

Use the refresh control in the sidebar, or reload the LinkedIn tab. Profile checks are cached briefly (about two minutes) to stay within HubSpot rate limits.

Collecting logs for support

If support asks for logs: open the LinkedIn tab, press F12 to open DevTools, go to the Console tab, type enableLinksyncDebug() and press Enter, reload the page, reproduce the problem, and copy the console output into your support message.

11. FAQ

Does LinkSyncer work with Sales Navigator?

LinkSyncer works on standard LinkedIn profile and messaging pages. Sales Navigator support is on the roadmap.

Can I use it in more than one browser or on two machines?

Yes — sign in on each. Every browser is an independent device with its own session; they don’t sign each other out.

Will it create duplicate contacts?

No — LinkSyncer looks up contacts by their LinkedIn URL and identity before creating anything, and updates the existing contact when there’s a match.

Does LinkSyncer scrape LinkedIn in the background?

No. It only reads the pages you visit yourself, while you visit them, and only after you’ve accepted the DPA.

How do I uninstall?

Right-click the toolbar icon → Remove from Chrome. Sign out first if you want the device removed from your device list immediately (otherwise it expires on its own). To disconnect HubSpot entirely, use Disconnect in the popup before uninstalling.
